Every CRM suffers from having data that is poorly formatted. Today we're going to explore a few ways to correct names in your HubSpot CRM that are in ALL CAPS or all lowercase to make them title case (first letter capitalized and the rest lowercase).
If you have Operations Hub, head on over to your workflows area. If you don't have Operations Hub, let's talk about why you should.
Create a new workflow and under your Actions options, select "Format Data".
From your Format Data list, you will have a bunch of different options to choose from. For this case, we're going to choose to make the first name property lowercase. This will turn first names like 'TANYA' into 'tanya'. Then, I'm going to add a step to 'Format Data and Capitalize' the first letter of the first name field, turning 'tanya' into 'Tanya'.
The next step is to add an 'action' to copy that new value back to the 'name property', as so:
We've tested the data formatting tool out for a few different scenarios and it works great most of the time!
Special Consideration: If you have names with special characters, multiple capital letters or two-word names (think: LaToya, José, or Nelson Jr.), enrolling them in this workflow could potentially make their name less accurate in your CRM than it was before. I would recommend against bulk-enrolling contacts for data formatting without first confirming that they actually need to be reformatted.
With Operations Hub you also have access to the Data Quality tools. Using the Property Formatting report, will show you all the records that HubSpot has flagged as having formatting issues and you can accept, decline, or automate those recommendations.
